Terms and Conditions

Your holiday contract: 
When you make a booking you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these booking conditions. You must be at least 18 years old to make a booking with us. Your contract with Accra Serviced Villas Ltd is made once a confirmation email has been issued to you. Your contract with us will be governed by English Law and is subject to the jurisdiction of the English Courts at all times. 

Minor changes after booking confirmed: 
If, after our confirmation email has been issued, you wish to make minor changes to your travel arrangements in any way, for example your chosen departure date or accommodation, we will do our utmost to make these changes but it may not always be possible. Any request for changes to be made must be by email from the person who made the booking. There is a $50 admin charge for this. Minor changes relates to the existing booking and is restricted to bringing forward or delaying the check-in date and/or check-out date by 2 nights only. 

If you have a complaint: 
If you have cause for complaint whilst on holiday, this must be brought to the attention of the designated caretaker/manager of the particular villa or ourselves in the UK by email or phone (we do not accept messages left on answer phone) immediately so that action can be taken at the time to rectify the problem as soon as practically possible. If you do not tell us about your complaint promptly, it may prove difficult to investigate or rectify the problem to allow you to make the best of your stay with us. 

Cooking services: 
A fully qualified chef/housekeeper shall be assigned to your villa at a daily rate of $20 or local currency equivalent (payable to the chef/housekeeper at the end of each working day) to expertly prepare all meals to your requirement. Please note that the chef/housekeeper works from 8am to 5pm each day with an hours lunch break. 

Travel insurance: 
Travellers are required to have their own comprehensive travel insurance to cover medical emergencies, property and cash lost suffered whilst staying at any of our villas. Accra Serviced Villas does not accept responsibility for any personal belongings, property of whatever description that is alleged to have been lost or stolen whilst staying in any of their villas. 

Energy conservation: 
The villas are fitted with prepaid meters which will be preloaded with 20 cedis of credit on check in. The customer is responsible for buying more credit as required. The staff will be able to assist with this. 

Air condition units - to save on energy cost and minimise waste, we recommend that you switch off units from the wall socket when leaving the room. To comply with fire regulation the air conditions and water heaters must be turned off when you leave the villa unattended for whatever length of time. The staff will be monitoring this. 

Water heaters - please note that this only takes 15 minutes to produce enough hot water for at least two people to bathe therefore remembering to switch it off from the wall socket would again save on energy cost. 

Electricity, water, gas, DSTV, Internet broadband and generator: 
In the case of water, gas and electricity we are wholly dependent on the Public utility companies to maintain supply so, although we have taken extra measures of our own to minimise the risk of any interruptions to the supply, such as a back-up generator and 2000 litre water reservoir, if they cannot make any of these services available, then Accra Serviced Villas cannot be held responsible and there will be no refund of any kind. The same applies to the DSTV which we reliant on the service provider. 

Internet provision is supplied via Wifi modem and the customer is responsible for any subsequent top up.  

Electricity- property is fitted with a prepaid meter which will be preloaded with 20 cedis of credit on check in, there after it will be the customer's responsibility to buy more credit as required. The staff on hand will be able to assist with this. 

The backup generator comes with a full tank on check in then the customer is responsible for buying more fuel as required and, once again, the staff will be on hand to assist. 

Pets and smoking policy: 
In the interest of hygiene, no pets are allowed in any of our villas. No smoking inside the villa but permitted in the porch and grounds of the complex. 

Swimming pool: 
Children should be accompanied in the pool by their parents or guardian at all times. 

Children should wear arm bands at all times and these are available on request from member of staff. It is your responsibility to ensure children are supervised by an adult at all times whilst in the pool. 

Please do not use the pool if you are under the influence of alcohol. 

The pool is not suitable for non-swimmers the deep end is 6.2 ft in depth. 

The pool is not suitable for diving.

Please be aware that you use the pool at your own risk and Accra Serviced Villas does not accept liability for any accidents whatsoever. 

Whilst we provide 24 hour security, please note that vehicles parked on the premises are at the owners own risk and Accra Serviced Villas accepts no responsibility for any damage or theft from or of the vehicle. 

Functions and parties: 
Please inform the manager on site if you intend to hold a party or a function. 

Check-in/out times: 
All guests are required to check-in no earlier than 2pm on the first day of stay, and check-out no later than 12 noon on the last day of stay. 

Cancellation policy: 
Because we start to incur cost as soon as the reservation is confirmed, there is an administrative charge of $200 for cancellation after confirmation of the booking. Where the cancellation is notified to us less than 10 days before the check in date then minimum deposit of $500 is non-refundable. The balance of any money will be refunded as quickly as possible but please allow up to 2 weeks, from the day the cancellation is notified to us, for the refund to reach your account.

Security Deposit:
The security deposit of $100 for any villa, has to be paid and we require you (the client) to inform us of any serious damage or breakages caused during your stay, and a list of all breakages, stains, or damages in writing upon leaving. Where time permits we like to do a quick initial check of the property when you depart. We understand that sometimes this is not possible due to various time constraints; such as leaving for your flight time or our representative not being available. A full and detailed check will take place after your departure and before the next guest's arrival. You will be advised of any faults or damages found after this detailed check (pictures will be taken if possible) and we will advise you as soon as possible the cost of repair or replacement and suitable time must be allowed for us to do this.
Anything damaged, spoilt or broken will be charged at the replacement cost. We make a charge to cover our time obtaining quotations, labour, travel, telephone, shipping expenses and any additional work required to fix, repair or replace broken or damaged items in time for our next client. Any items having to be purchased will be replaced with 'like for like', of the same quality and standard. No 'mark-up' will ever be added.
The security deposit will be refunded after the property is fully cleaned and checked as detailed above. In the event the property internally/externally or its belongings, fixtures or fittings are damaged/ broken in any way then charges will be deducted from the security deposit and any refund that may be due to the client will be undertaken after repair or replacement being made for the appropriate item. Should the security deposit not cover all the damage, repair or replacement caused then we will request extra funds to make up the difference. You agree to cover such additional damage or replacement costs within 7 days of the notification of the extra costs.

Changes to booking and property availability:
 ASV reserves the right to amend the booking dates. This may be due to several reasons, not limited to but adverse weather conditions, riots and or matters concerning participants safety, operational circumstances such as damage caused by fire, or the villa becoming unusable due to utility company work or lack of services, leaks, repair work or any other such reason. In these circumstances the booking may need to be adjusted accordingly. ASV is not liable for any additional costs or losses that may be incurred by the client due to the change of booking. This includes, but is not limited to, any extra hotel reservations or car rentals, or the cost of non-refundable airline tickets. Situations may arise which, in our opinion, make it necessary for us to alter the normal booking schedule. If you cannot accept the dates of any new booking that ASV propose then ASV will refund monies you have paid for to us in full. We advise that your travel insurance covers holiday curtailment.
In the event before your arrival or during your period of rental your villa choice becomes unavailable or unusable for any reason we reserve the right to offer you an alternative property of the same level of quality and in a similar area, or to refund all monies paid to date and cancel the booking if any grievance is brought to our attention within a couple of hours of offering the alternative villa. We reserve this right in the case of availability clashes, unexpected, unforeseen or uncontrollable situations. Should ASV successfully be able to you offer a similar property and location, a pro-rated refund for the difference will be refunded if the property offered is a lower rental cost for the same period. If ASV is not able to find a similar property then a full refund of monies paid will be returned, or in the case that some time has been used already at the property before it becomes unavailable then a pro-rata refund will be given. This constitutes the maximum liability of ASV are not responsible for any other expense or costs incurred including rearranging or cancelling flights or car hire. We strongly recommend holiday insurance cover.

Our Responsibility:
We are responsible for providing the services listed on our website, where it is within our control. We carefully and regularly monitor our properties. ASV cannot guarantee that all items listed on our website will be functional at all times, however all endeavours will be made to rectify any problems as soon as we possibly can. We reserve the right without prior notice to withdraw any part or all of the facilities available, and to make such changes as may be necessary. Furthermore, it is agreed by you that the proprietors of ASV are not the guardians of any customers safety and they, individually or collectively, cannot be held liable in any way for any occurrence, which might result in illness, injury, death or other damage, loss or theft to the customer, his property, or his family, heirs, or assigns. The liability of ASV is limited to a total of the booking price irrespective of the title/claim.
